How to use QmailAgent to manage your email accounts on QNAP NAS?

Overview

QmailAgent is an online mail client that allows users to access Gmail, Outlook, Yahoo mail, and any IMAP server. It can easily switch accounts with its quick launch bar and provides complete functionality for composing, reading and organizing email messages. Files, photos and documents stored on the NAS can also be attached to emails. QmailAgent also supports automatically backing up all of the emails on the server to the NAS upon logging in. In this article we will walk you through on how to use the QmailAgent app to manage your emails on a QNAP NAS.

System Requirements

QmailAgent is applicable to the QNAP NAS running firmware version 4.2.2 (or newer).

Supported QNAP NAS models: TS-x31, TS-x31+, TS-x31P, TS431U, TS-831X and x86-based Turbo NAS are supported (including the TS-269H, TS-x51, TS-x51+, TS-x51A, TS-x53, TS-x53II, TS-x53A, TS-453mini, TVS-x63, TS-X63U, TS-x69, TS-x70, TVS-x71, TS-x79, TVS-x80, TVS-ECx80+, TVS-x82, and TDS-16489U). Please check the QNAP website for more details.

Please note: Due to high CPU usage, it is not recommended to use multiple email accounts with older ARM-based and Intel Atom-based NAS models. Please see Product Overview for more information.

Follow these instructions for the first time setup of the QmailAgent service:

  1. Install the QmailAgent app.
  2. Set up a login email account.
  3. Manage your QmailAgent jobs.
  4. Attach a file stored on your NAS to an email.

 

1. Install the QmailAgent app

QmailAgent can be installed and enabled in the QTS App Center.

2. Set up a login email account

When you first open QmailAgent you will see the welcome page.


On the next page you can choose the type of email server that you will access.

Enter the email account information, including the display name, email address, password and where to save your emails. You can choose to save attachments or not and where to save your attachments. Click "Add" to go to the next step.

If you are adding a Gmail account, enter the display name, email address and where to save your emails. You can choose to save attachments or not and where to save your attachments. Click "Next" to go to the next step.

The app must be authorized to access your Google account. Click “Google OAuth2” to open the Authorization page. To learn more about OAuth, please visit: http://wikipedia.org/wiki/OAuth.

Your web browser will take you to Google OAuth authorization page. Select “Allow”.

After successful authorization, the browser redirects the user back to the application. Click "Add" to complete Gmail login.

3. Manage your QmailAgent jobs

After logging in to an email account, the mailbox will display a list of every email in the currently-selected folder. It provides all of the functions necessary for reading, composing, replying, deleting and replying to emails.

Emails and attachments are downloaded as background tasks. When you sign in to an email account, QmailAgent will sync and download email folders.

Please note: Download limitations (and other security-related features) on your email server may cause QmailAgent to be unable to download all of these at once. You may need to re-authenticate your account after a few hours.

The Toolbar (from left to right) includes: Select, refresh, compose, reply, reply all, forward (including inline and as attachment), move to trash, tag and more.

Reading email: Click an email twice and the window will show the email's content. The preview pane appears below the message list and displays the currently-selected email. To view/hide the preview pane, click the toggle button in the message list footer.



Switch/ Add other mail accounts

Click the switch icon , it will display the email account list and you can choose another account to access.

In the account list, there is add account icon . Clicking it will switch to the add account window.


Delete / Edit email account

Select an account on the list and it will display the email account information. You can edit the name and other settings.

In the storage location settings, you can add new capacity and change location to save email and attachments.

To remove the account from your NAS, click icon "Delete".

You will be asked to confirm the deletion of accounts. If you are currently using the account that you are deleting, QmailAgent will log out.

Importing/ Exporting contacts

Switch to the address book window, click "Import contacts" on the toolbar, then go to the next step.

Select a .vcf or .csv file to upload then click "Import contacts".

When exporting contacts, select contacts or a group.

Click "Export contacts in vCard format" and choose whether to export all contacts or selected ones. They will be downloaded to your current device.

4. Attach a file stored on your NAS to an email.

To attach a file from your NAS when writing emails, click the icon “Attach a file” on the toolbar.

In the folder window, select a file then double click or click “OK” to upload it.
