How to Use Qfiling?


About Qfiling

Qfiling is a comprehensive auto-filing application that revolutionizes file organization. Using Qsirch, a full-text search technology that provides advanced search criteria based on file types, Qfiling helps you categorize your files and increase your productivity.

Using the Qfiling Home Page

Monitor the status of all filing tasks from the Qfiling home page.

In addition to one-time filing tasks, you can also view scheduled filing tasks.

Creating a Qfiling Task

  1. Click “Create Qfiling Task”.
  2. Specify the task name.
  3. Under Source Path, select the source folder.
  4. Under Destination Path, select the destination folder.

    Tip: You can also create a new folder and then select it as the destination folder.
  5. Click “Next”.
  6. Under Filing conditions, select the file type.
  7. Select the filing conditions for each file type.
    For example, you can choose to sort all photos based on their modified date.
  8. (Optional) Click to add new filing conditions for subfolders.

    Tip: You can archive multiple file types in one task.
  9. Click “Next”.
  10. Select one of the following.
    1. Once – Runs the filing task once.
    2. Schedule – Runs the filing task multiple times based on the specified schedule and validity date.

  11. Click “Next”.
  12. Select all that apply.
    1. Delete original files
    2. Move files that do not meet conditions to an “Other” folder
    3. Intelligent subtitle filing for videos
    4. Data integrity check

  13. Select the file conflict policy.
    1. Skip the files
    2. Overwrite the files
    3. Rename if a file exists with the same name
  14. Click “Next”.
  15. Review the task summary.
  16. Click “Apply”.

    Note: If you choose to delete the original files, you can undo the changes by clicking Recovery on the home page after the task completes. Doing so moves all files back to their source folders and deletes any new folders.


Recommended Uses

Tips for photographers:

  1. If you use professional photography software like Adobe Lightroom to tag and archive photos, QNAP recommends using the following filing conditions.
    1. [Picture/ IPTC Keywords/ Month Taken]
    2. [Picture/ Month Taken/ Date Taken/ IPTC Keywords]
  2. If you need to organize a large number of photos, use a Qfiling scheduled task to archive your photos regularly.

Tips for office workers:

  1. If you need to organize files by project, use the following filing conditions for each file type.
    1. Documents - [Documents/File Extension]
    2. Photos - [Picture/Date Taken]
    3. Videos - [Video/Month Taken]
    4. Music - [Music/Music Genre]

  2. If you need to organize a large number of files, you can:
    1. Use a Qfiling scheduled task to archive your files regularly.
    2. Use the following filing condition for documents: [Documents/File Extension/Modified Date].

Availability and Requirements

The Qfiling and Qsirch a dd- ons are available in the App Center on QTS 4.3.0 or later.

Qfiling and Qsirch requires at least 2GB RAM for x86 models. For better performance, 4GB RAM (or more) is recommended .
